INTRODUCTION

This Privacy Policy describes the Long Island CW Club (LICW) policies and procedures on the collection, use and disclosure of member information.

LICW is an amateur radio club promoting Morse Code education.  Due to amateur radio licensing requirements, the membership’s personal data is largely in the public domain.

LICW collects and retains:

  • Personal data from the member on-boarding system and the LICW Challenge Logger
  • Class attendance data from the attendance and scheduling system
  • Usage data from the Morse Practice Page

PERSONAL DATA

LICW utilizes personal data for the following purposes:

1.  Communications, including:

  • Daily and weekly class schedules, special event announcements, and important club-related information via Groups.io
  • Facebook, Twitter, and Discord social media posts
  • LICW Newsletter
  • This Week in LICW podcast
  • YouTube informational and educational videos

2. Membership Management, including processing of membership applications, renewals, and dues.

3. Organizing and managing contests and special events, including:

  • The LICW Challenge contest
  • Generation of geographical maps in support of voluntary social activities such as Face to Face events and other amateur radio gatherings

LICW collects and retains the following personal data:

  • Amateur Radio Information: Callsign(s), license class, and other information related to amateur radio activities
  • Contact Information: Names, email addresses, phone numbers, and other contact details provided when a member joins the club or participates in LICW events
  • Membership Information: Membership status, payment details, membership number, and how members learned about LICW
  • QSO data submitted in support of the LICW Challenge

CLASS ATTENDANCE DATA

LICW utilizes class attendance data for Academic Quality Assurance, which includes validation of academic effectiveness and teaching methods.  Class attendance data supports evidence-based decision making and promotes incremental improvements over time.

LICW collects and retains the following class attendance data:

  • Callsign
  • Class name
  • Date/Time of Class
  • Duration (minutes) spent in the Zoom room
  • Zoom Screen Name

USAGE DATA

LICW collects usage data from the LICW Morse Practice Page (MPP).  LICW uses the information collected through Google Analytics to help identify the origin of technical issues, and to identify resources and features users find useful, which informs future development.

LICW collects and retains the following usage data:

  • Approximate geolocation
  • Browser type
  • Browser version
  • Device IP Address
  • Other diagnostic data
  • Pages visited
  • Time and date of visit
  • Time spent on pages
  • Unique device identifiers

LICW uses Cookies and similar tracking technologies to track activity on the MPP and to enable the user’s settings to be recalled for ease of subsequent usage.

DATA RETENTION

LICW retains member personal data only for as long as necessary for the purposes set out in this Privacy Policy.

LICW does not disclose, share, sell or distribute personal data.

Member information, including personal data, may be processed and stored on servers located outside a member’s state, province, country or other governmental jurisdiction where the data protection laws may differ from their jurisdiction.

DATA SECURITY

LICW will take all steps reasonably necessary to ensure member information is treated securely and in accordance with this Privacy Policy.

Access to member information retained by LICW is limited to the management of LICW and designated developers and administrators.

OPT OUT

Members may request LICW not track their class attendance and their historical attendance data be deleted.  Members may also request LICW not show their location on geographical maps generated to facilitate voluntary social activities.
